  • Think that ergonomics is all about your employees asking for expensive chairs & standing desks? Sometimes this can happen. What we have found with these requests is that often times the ergonomics of that person’s workstation is poor and that may have been the reason behind this. Adjusting a workstation to allow for improved ergonomics may be the solution, and that person should try this out combined with an effective ‘break’ strategy before any chair or standing desk purchases are made. This process can help some people, especially if their discomfort is due to a chair that has never been adjusted to fit them. Is this program compliant with OSHA (or other)? Through identifying ergonomic risk and then offering a comprehensive and customized ergonomic training solution to employees our program establishes consistency among all employees and workstations in your workplace as well as compliance with the vast majority of Health & Safety legislations.

What if I don’t even have enough time to look at this program? We appreciate that people involved with the management of people can be incredibly busy, especially during certain segments of the year. But, here’s the thing. Work related injuries and discomfort likely doesn’t ‘stop’ just because of business, and often times people’s discomfort symptoms may increase due to stress etc. Being uncomfortable and in pain while working can really affect our productivity so it could add even more time to our days working in uncomfortable scenarios.

We have a lot of employees. With more employees would I get a better ‘price’?.  Yes we offer a ‘graded’ cost plan for employers. We know that the price of ergonomics is a barrier and can hold a lot of companies back from making sure that their employees are working in safe, comfortable, and ‘ergonomically suitable’ positions. That’s the reason why we developed a program like this. The program is a reasonable cost per employee, especially when you compare it to the costs of bringing in an outside ergonomics consultant to look at every employee – that may cost upwards of $200/assessment. Depending on the size of your office, you could have your entire workplace surveyed for the same cost, which leaves a lot of ‘room’ in the budget to buy ergonomic equipment (if need be).

What if we don’t have a budget for ergonomics? This program has a primary focus of adjusting what the employee already has in their work space to bring it more within ‘neutral’ working postures. Depending on the situation this may mean that the chair is raised or lowered, lower back (aka lumbar) support is adjusted, monitor is lowered and brought closer to the employee, or even a productive break schedule is used to incorporate more standing. Our strategy is to bring a low cost or no cost approach to ergonomics in the office. But, in saying that sometimes we cannot avoid costs in office ergonomics, especially if your workplace uses older, defective equipment or there are specific employee circumstances that requires special equipment. Our program’s reasonable cost per employee allows some flexibility in costs and budgeting. If you choose to do ‘nothing’ (aka not address ergonomics with even a ‘small’ priority-based budget), you may be shifting the costs to instead direct (worker’s compensation claims) or indirect (finding more quality employees) areas of your operations. Something to think about.

What if we get an influx of reported discomfort, claims, requests for equipment after this program? It is not unheard of that something like this can happen. This can be especially true if ergonomics in the office hasn’t been addressed for quite some time and this is the first avenue for employees to voice their opinions. Our program focusses on documenting employee discomfort and then identifying any areas that will need interventions (from a one-to-one local ergonomic consultant). In our experience following a simple strategy that allows employees an opportunity to share discomfort PLUS an action plan that includes specific training to address the root causes of that discomfort with purpose of bringing things back to ‘neutral’ can help immensely. This is what our program does. After all if ever a Worker’s Compensation Claim was started, a similar process would be required to be completed anyway.

This seems gimmicky. Can it really help me? From our experience managing the in-house ergonomic program of a very large organization, consulting and deploying ‘participatory’ ergonomics programs in various industries focusing on worker discomfort with a real and tangible action plan can not only address underlying employee discomfort for the majority of staff it can help them work with less discomfort too. Our program also identifies any employees who may need ‘extra’ help that local ergonomics consultants can help with. On top of that we offer a 3-month follow-up survey with staff to ‘check-in’ with staff.

Everything in our office seems fine. I don’t think that we need this program. Well we hope so too! But you may want to consider something like this program if it has been quite some time since the last time you had ergonomic assessments for your employees or had their discomfort surveyed. For the cost per employee that our program offers ergonomics to be approachable for many companies. In this program we also give adjustment advice that employees can do on the spot to bring equipment back into neutral posture so your staff can stay healthy and happy at work!

No one seems to care about ergonomics. My managers don’t know the value of ergonomics in the office, but I know that there is a need. What should I do? It’s important to convey some of the costs associated with ‘doing nothing’ when it comes to worker health in the office. And often times there are costs associated with direct (Worker’s Compensation Claims) or indirect (administrative activities like more time spent looking for and hiring ‘ideal’ and quality employees) processes that your company may already be bogged down with this already. Looking at the costs, according the the Worker’s Compensation Board of Alberta, one carpal tunnel syndrome claim can cost upwards of $12,000. That is A LOT of money and on the professional side would affect that person’s productivity (obviously) but also on the larger scale office morale. On the larger scale, making sure that employees are working in ‘neutral’ AKA most comfortable work positions is a very important aspect to the wellness and well-being workplace trend. On the softer side deploying a program like ours shows employees that management really ‘cares’ about them and how they feel. This can help to keep ‘star’ employees engaged and productive.

We have a huge workforce, many people are in pain, and I know that people are using old or broken equipment. I know that we don’t have a ‘budget’ for ergonomics. What should we do? This is a common question that I hear a lot. To deploy this program to the entire staff at once would likely lead to a lot of overwhelm in managing the program (aka if anyone would require more assistance from a local ergonomics consultant). What we would recommend doing is segmenting your workforce. Maybe it makes sense to segment based on department or physical location if you have many offices. The priority of our program is to adjust the equipment that the employee already has in their workstation. This could mean raising or lowering the chair, adjusting the armrests, or changing where the keyboard and mouse are located on the desk. However, in some scenarios (like you mentioned) costs simply cannot be avoided. With our program you’ll have access to a list of ‘simple’ equipment that meets established ergonomic equipment so that you know you are making the ‘right’ purchases and this will also save in consultant costs too. Segmenting your workforce can help with budget as it can ‘spread out’ the costs for new equipment (if they are required) so you are not overwhelmed with requests, etc.

We all use very old equipment. I’ve heard that people don’t like it. I know that we will have to replace it one day but we don’t have a budget. Is this program still for us? We recommend looking at the big picture. Our program first priority is to adjust what employees already have in their office configurations. This could be that a chair needs to be raised, lowered or other simple adjustments to allow staff to be in a more ‘neutral’ ergonomic set-up. But, sometimes these costs simply cannot be avoided especially if you already know that equipment is old, malfunctioning, or defective. In our approach we ask specific questions to identify if equipment is working within its parameters. For ‘simple’ equipment we’ve developed a list that we will share with you of equipment that meets established ergonomic criteria. For more expensive equipment – like replacing a defective chair – we can also help narrow down some options and give you an overall strategy to use but you may also require the use of outside ergonomic consultants as it is extremely important to find a suitable chair.

We are all just too busy. How long will this program take? The nice thing about our approach is that employees don’t need to leave their workstation for us to help. Employees should schedule about 10-15 minutes to complete the discomfort surveys and about 30-45 minutes for the ergonomics training.

Everyone works from home. How can I control that? The key thing to know that if your employees were to get injured or open a Worker’s Compensation Claim your company would be responsible. But you can make sure that they are working in ‘neutral’ ergonomic positions. Our program is ideal to address any ergonomic concerns for remote workers as everything is delivered online. Our focus is to make adjustments to the equipment that they already have first, however sometimes this cannot be avoided especially if equipment is old, defective, or malfunctioning. It can be a little complicated as to who would ‘cover’ the costs but the key thing to remember is that the employer is still responsible for any Worker’s Compensation claims that may arise out of work. It’s a hard pill to swallow but work injuries can cost a lot. We already have an ergonomics program. I’m trained to do ergonomics assessments and I handle all assessments in our office. Would this program still be helpful? We are glad that you are trained to do ergonomic assessments in the office and that your company is taking a proactive approach to ergonomics! This program isn’t meant to replace what you are already doing in your office for ergonomics. It’s meant to save you time and address ‘big picture’ discomfort trends that can really help you in the long-run. Here is a major savings: since you are already training in ergonomic assessments you can do those ergonomic assessments to those who need ‘extra’ help. When we managed our own in-house ergonomic program from time to time I would do a ‘discomfort’ check on our employees just to ensure that there weren’t any hotspots. However I found that this process was very time consuming for me to do on top of my regular job duties leading to a lot of overwhelm. We’re really flexible too so let us know if you’d like to deliver the employee training (with our slides), sometimes this can help with consistently and congruence.
